Working as a Photography Team: From Invitations to Search Readiness

How event managers and collaborating photographers divide their roles in PikFind. A guide to team invitations, folders, upload processing status, and photo balances.

When several photographers cover an event, first decide how their photos will be collected. Receiving files in a messenger and having the organizer upload them again can duplicate work and delay the announcement to participants.

PikFind lets you invite photographers to an event so each can upload to the same place. This guide separates what managers need to prepare from what photographers need to check.

The manager creates the event and invites photographers

In a Pro or Festival event, open the team tab and prepare an account invitation or an upload-link invitation. Photographers connected to an account use the collaboration menu; photographers invited by link can upload through that link without an account. Invited photographers handle photo uploads rather than managing all the event settings.

You can invite up to 3 photographers to a Pro event and 10 to a Festival event, excluding the owner. Check the remaining places and expiration conditions before sending an invitation. If an expired or revoked invitation prevents you from working, ask the manager for a new one.

Agree on folder names and camera times as a team

Choose a folder naming convention before uploading. Use dates, sessions, or locations that help participants remember a scene. Different names for the same location can make browsing confusing.

Time filters use the capture time recorded in photos. Synchronizing camera clocks before the event helps participants browse photos from several devices by time. This method may be less useful for photos without capture-time information.

Check whether uploaded photos are ready to search

Photo processing and face-search preparation continue after files have been transferred. Check the progress in the upload view and the readiness status on the event page. When sharing the link with participants, explain which photos are currently searchable.

You can view the photos you uploaded in the collaboration screen. Check the event name when you begin so that you do not upload to the wrong event or folder. If a transfer fails, review the on-screen result and retry the affected files.

Assign responsibility for the balance and the participant link

Team uploads are also deducted from the event creator’s photo balance. Photographers check the remaining upload allowance and ask the event creator to top up if the balance is empty. Photos that are already ready remain available to participants even when new ones cannot be added.

Participants should receive the event QR code and link, rather than the upload invitation route. The manager can check the event page where the team’s uploads collect, then share one link. Assigning roles carries the work through to photo delivery.
