Conferences: Bring Several Photographers’ Photos Together Under One Event Link

An example of using collaboration invitations and folders to organize stage, networking, and photo-wall coverage. Connect the upload workflow with participant search.

This article illustrates how current PikFind features could be used at an event. It does not describe a specific customer deployment or measured results.

At a conference, one photographer may be covering the stage while another is in the networking area. After the event, separate folders appear for each photographer, and participants move between several links to find photos they appear in.

This example lets each member of the photography team upload their own images while participants receive a single event link. It divides the work around PikFind’s team invitations and collaborative uploads.

Connect the photography team’s work to the same event

The manager of a Pro or Festival event invites collaborating photographers through the dashboard’s team feature. Photographers connected through an account upload from the collaboration menu; photographers invited by link use their upload link. There is no need to share the organizer account’s password.

Team invitations allow up to 3 photographers for a Pro event and 10 for a Festival event, excluding the event owner. Check invitation expiration conditions as well. The event link shared with participants and the invitation link used for uploading serve different purposes, so distinguish them in your announcements.

Give stage and networking folders names participants can understand

When uploading, name folders by session or location. Names participants remember, such as “Morning keynote” and “Lobby networking,” help with browsing more than file names understood only by the photographer.

Uploaded photos become searchable after processing. Upload completion and search readiness may not happen at the same moment. Check the status on the event page before announcing it, and let participants know if more photos are still being added.

Participants search in one place without knowing the photographer

Give participants one event QR code or link. Selfie search uses the photos collected in the same event, so they do not need to switch links even if different photographers covered the stage and lobby.

When browsing all photos is allowed, participants can also explore a particular session by time and folder. This is a useful additional route for scenes that are difficult to find through selfie search, such as a wide view of the stage or an audience shot with small faces.

Team uploads use the same photo balance

Collaborating photographers’ uploads use the event creator’s photo balance. Uploads can stop during the event if the team assumes each photographer has a separate balance. The manager should check the total planned photo volume together with the remaining balance.

Participants can continue viewing photos that are already ready even if the balance runs out. The event creator needs to top up to upload more photos. Sharing this condition with the team in advance makes it clear whom to contact if uploads stop.
